Short answer

A HubSpot WhatsApp integration connects a WhatsApp Business number to HubSpot so chats appear in the conversations inbox and on contact records. The native channel needs Marketing Hub or Service Hub Professional or Enterprise and allows 1,000 template messages a month. Starter accounts, or teams needing more volume, use a WhatsApp provider app or an automation tool instead.

What are the ways to do a HubSpot WhatsApp integration?

There are three routes, and they differ in where the conversation lives, who you pay for messages, and how much of the data reaches HubSpot. Choose the route before you connect a number, because moving a number between integrations later means disconnecting it first.

The native route is HubSpot’s own WhatsApp channel. Messages arrive in the conversations inbox, threads sit on the contact timeline, and templates can be sent from records, the inbox or workflows. It is the cleanest option when your portal already has the right hub, because there is no second inbox for reps to check.

The provider route uses a WhatsApp Business Solution Provider (BSP) such as Wati, Interakt or AiSensy, each of which publishes its own HubSpot integration. The provider owns the WhatsApp connection, the chatbot and the bulk-send tool, and pushes contacts, messages or events into HubSpot. How much reaches HubSpot varies by provider, which is exactly why the comparison of Interakt vs Wati vs AiSensy focuses on CRM sync depth rather than features.

The automation route uses Zapier, Make or Pabbly Connect to copy events from a WhatsApp provider into HubSpot: create or update a contact when a new chat starts, set a property when someone opts in, create a deal when a keyword is used. It is useful glue, but it does not give reps a two-way inbox inside HubSpot. One limit to know: HubSpot’s webhook workflow trigger (Professional or Enterprise) only enrols a record that already exists with a matching unique property value, so it updates known contacts but does not create new ones.

What do you need before connecting WhatsApp to HubSpot?

Most failed connections fail on prerequisites, not on HubSpot. Check the subscription, the Meta side and the phone number before anyone clicks Connect.

  • The right HubSpot subscription. HubSpot lists the WhatsApp channel for Marketing Hub or Service Hub at Professional or Enterprise. A HubSpot WhatsApp Starter plan does not exist as a native option: Starter, Free and Sales Hub-only portals need a provider app. Check current hub pricing on the HubSpot price in India guide.
  • Admin access to Meta Business Manager (now the business portfolio) for the company that owns the number, plus the legal company name, WhatsApp display name, website URL and business email ready to enter.
  • A WhatsApp Business account, not a personal one. HubSpot states that personal WhatsApp accounts cannot be connected because of Meta’s requirements.
  • A number that can receive a voice call for verification and is not behind an IVR, or has IVR switched off while you verify.
  • A free number. For a standard connection the number cannot be attached to another WhatsApp account, the Business App or another integration. Disconnect it from any previous provider first.
  • Super Admin rights in HubSpot for the coexistence route, which HubSpot lists as required.
  • A verified business on Meta if you plan to send templates at volume. Meta’s messaging limits start new business portfolios at 250 business-initiated messages per rolling 24 hours, and verification is one of the paths to the next tier of 2,000.
Connecting moves the number off the phone

With a standard connection, HubSpot says messages stop appearing in the WhatsApp mobile and web apps and appear only in the HubSpot inbox, and historical conversations are not synced. If your sales team runs on the WhatsApp Business App today, decide between coexistence and a clean cut-over before you connect, and tell the team the date.

How to set up the native HubSpot WhatsApp integration, step by step

The native setup takes one sitting if the prerequisites are in place. The steps below follow HubSpot’s Knowledge Base article for connecting WhatsApp to the conversations inbox; menu labels can change, so check the live article if a label differs.

Native HubSpot WhatsApp setup path

  1. HubSpotOpen WhatsApp settings in HubSpotSettings (gear icon), then WhatsApp in the left sidebar, then Connect a WhatsApp phone number.
  2. MetaContinue with WhatsApp and accept termsA Meta window opens; accept WhatsApp’s terms to continue.
  3. MetaChoose portfolio, account and numberSelect the business portfolio and WhatsApp Business account, then a new or existing phone number, and verify it.
  4. MetaReview permissions and finishReview what HubSpot can access, continue, then Finish. Errors in this window must be solved with Meta before you retry.
  5. HubSpotConnect to an inboxClick Connect to Inbox, choose the conversations inbox or help desk, and save.
  6. HubSpotSync templates and set routingTemplates created in WhatsApp Manager sync to HubSpot; set inbox routing and a view filtered by source WhatsApp.
  7. BothTest end to endRun the test plan below before announcing the number to customers or putting it in ads.

Coexistence is the variant for numbers already on the WhatsApp Business App. HubSpot’s coexistence article lists Super Admin permission in HubSpot, admin rights on Meta Business Manager, and a number registered in the Business App on a device. If the number was connected to HubSpot or another integration, disconnect it and wait 10 to 15 minutes before reconnecting. Once connected, HubSpot imports the last 180 days of conversations and messages sync both ways. Media in the backfill shows as placeholders, templates cannot be sent from the phone, voice notes can only be sent from the phone, and the send rate is capped at 20 messages per second.

After connecting, build a custom inbox view filtered to source WhatsApp so the team can see WhatsApp threads apart from email and chat, and assign ownership rules the same way you would for any other channel. If leads should be distributed across reps, use the same logic as your round robin lead routing in HubSpot rather than a separate WhatsApp-only rule.

Templates, the 24-hour window and workflows in HubSpot

WhatsApp is not email: outside a 24-hour window after the customer’s last reply, you can only send pre-approved templates, and every template costs money and counts toward HubSpot’s monthly allowance.

HubSpot’s documentation says a WhatsApp session stays open for 24 hours after the contact’s last response. Inside it, reps can send free-form messages. Once it closes, the only way to restart the thread is a template; if the contact replies to the template, a new 24-hour session opens.

Templates are created in your WhatsApp Business account and sync into HubSpot. HubSpot syncs only templates your team created, not WhatsApp’s auto-generated samples, and its template article notes that templates with multiple button types, a location header or flow buttons do not sync. Two limits matter for automation:

  • Personalisation is contact and company only. HubSpot states that only contact and company personalisation tokens work in WhatsApp templates. Deal, ticket and custom object tokens do not, so an order number or deal amount must be copied to a contact property first.
  • Workflow sends need recorded opt-in. HubSpot requires verifiable opt-in consent before sending through a contact-based workflow, and recommends a Manage communication subscriptions action before the Send WhatsApp message action. Meta’s own opt-in rules require that the person is clearly told they are opting in to messages from your business, by name.

Meta classifies every template as marketing, utility or authentication, and the category sets the price. A utility template follows a user action and must be non-promotional; Meta’s guidelines give “an order update with a promo” as an example of mixed content that is treated as marketing, and since 16 April 2025 a utility template can be recategorised to marketing instantly.

Why this route
  • Your tier, volume and number count fit the native channel. Conversations land in the HubSpot inbox on the contact timeline, and templates can be sent from workflows with recorded opt-in.
  • Your template volume uses most of HubSpot’s monthly allowance. It works today but leaves little headroom for growth or campaigns.
  • HubSpot allows up to 25 phone numbers per WhatsApp Business account, so your number count fits; check that every number is a Business account with no other integration attached.

Want the route checked against your portal, templates and ad setup before you connect a number?

Method: the native route needs Marketing Hub or Service Hub at Professional or Enterprise (HubSpot Knowledge Base, checked 17 October 2026). Template usage = marketing templates + utility templates per month, compared with the 1,000 template messages per month that HubSpot says are shared across all connected WhatsApp Business accounts. Meta cost = marketing templates × ₹0.8631 + utility templates × ₹0.115, the India list rates in Meta’s INR rate card effective 1 October 2026, excluding GST and any provider markup. Utility templates sent inside an open 24-hour customer service window are free under Meta’s rules, so the utility figure is an upper bound. The route verdict is rule-based on the answers you give; it is a starting point, not a quote.

Using a WhatsApp provider with HubSpot instead

A provider app is the right answer when your portal is on Starter, when template volume is high, or when you need a chatbot, catalogue or bulk campaign tool that HubSpot does not offer.

The question that separates provider apps is not features but what they write into HubSpot. Ask each provider, in writing, which of these its HubSpot app does:

  1. Creates or updates a contact when a new number messages you, and how it matches existing contacts.
  2. Logs every message to the contact timeline, or only the first message and a link out.
  3. Lets reps reply from HubSpot, or only from the provider’s inbox.
  4. Triggers templates from HubSpot workflows, and whether it can read deal or ticket properties.
  5. Writes opt-in status to a HubSpot property your workflows can check.
  6. Stores the click-to-WhatsApp ad referral and click ID on the contact.

Matching is the one that causes silent damage. HubSpot’s deduplication works on email address for contacts. A WhatsApp lead usually arrives with a phone number and no email, so a careless integration creates a second contact for someone who already exists. Ask how the app matches on phone, normalise numbers to one format with the country code, and test with a contact who is already in the CRM.

The search phrase wati hubspot vs interakt hubspot is really this checklist. Both publish HubSpot integrations, as do AiSensy and others; the neutral provider comparison scores them on CRM sync depth, Shopify triggers, markup and seat pricing. If you also need WhatsApp in Zoho, the same questions apply, and the WhatsApp automation service covers both CRMs.

Choose native HubSpot if
  • You already pay for Marketing Hub or Service Hub Professional or Enterprise
  • Template volume stays under about 1,000 a month
  • Reps should work one inbox, with WhatsApp next to email and chat
  • Templates only need contact or company fields
Choose a provider app if
  • The portal is on Free or Starter, or Sales Hub only
  • You send campaigns, order updates or reminders at volume
  • You need a chatbot, catalogue, or many numbers
  • You will verify in writing what the app logs to HubSpot

What gets logged, and how WhatsApp leads are attributed

A WhatsApp chat in HubSpot is only useful for marketing if you know which campaign started it. That needs a deliberate design, because WhatsApp hides the click from your website analytics.

Two paths start a WhatsApp conversation. A website button (a wa.me link) opens WhatsApp from your site, so the ad click ID exists on the landing page but not in the chat. A click-to-WhatsApp ad skips the site entirely, and Meta passes referral data, including the click identifier ctwa_clid, in the webhook for the first inbound message. HubSpot’s documentation for the native channel does not say whether that click ID is stored on the contact, so treat it as something to test, not assume.

The reliable pattern is the one in the guide to tracking WhatsApp leads in Google Ads and Meta: put a short reference code in the prefilled message, store the click IDs and UTMs against it on your site, read the code when the chat lands in HubSpot, and write the source to contact properties. Then send qualified and won outcomes back to the ad platforms. For Meta that means the Conversions API, set up as described in the Meta Conversions API setup guide; for Google it is offline conversion import, the same mechanism covered for CRMs in enhanced conversions for leads with HubSpot and Zoho.

Keep the field design simple: Original source, WhatsApp entry point (website button, click-to-WhatsApp ad, QR code, organic), campaign, reference code, and first message time. Add them to your CRM data dictionary so the next admin knows who writes each one.

What breaks in a HubSpot WhatsApp integration

Most problems appear in the first month, after the setup looked fine on day one. These are the failure points to watch, with the cause behind each.

  • The number will not connect. It is still attached to the Business App, another provider or an old integration, or it cannot take a verification call. Disconnect it everywhere first.
  • Templates do not appear in HubSpot. They were created as WhatsApp samples, are still pending approval, or use unsupported components such as multiple button types or a location header.
  • Workflow sends stop mid-month. The shared 1,000 template allowance is used up; it resets on the day of the month you first bought the qualifying subscription.
  • Personalised fields show blank. The template uses deal or ticket data, which HubSpot’s WhatsApp templates do not support; copy the value to a contact property or set a fallback.
  • Utility templates bill as marketing. Promotional wording in an order or reminder template gets it recategorised, which changes the price from ₹0.115 to ₹0.8631 per message at current India list rates.
  • Duplicate contacts. WhatsApp leads arrive with phone only, and email-based deduplication does not catch them.
  • Sends throttled or blocked. A new, unverified business is limited to 250 business-initiated messages a day, and Meta rate-limits accounts whose quality stays low.
  • Reps lose their history. A standard connection was used on a number that had years of chats on the phone app; history does not sync on that route.

When to get help, and what it looks like

The connection itself is a short job. The work that takes judgement is the route choice, the opt-in design, the data model and the attribution loop.

If WhatsApp is one channel in a portal that also needs routing, lifecycle stages and reporting fixed, scope it as part of a wider HubSpot portal audit rather than a one-off connection. If the deeper question is why leads do not turn into revenue, start with the Revenue Diagnostic: two weeks with read-only access to ad platforms, analytics and CRM, at ₹90,000 for companies in India ($1,500 elsewhere), ending in the binding constraint in writing and a 90-day plan.

For the commercial question of who to hire for HubSpot work in India, read the HubSpot consultant guide; for the licence side, the HubSpot price in India guide covers tiers, seats and GST. Teams with portal leads from marketplaces can pair this with the IndiaMART HubSpot integration guide, since both channels produce phone-first leads with the same matching problem.

HubSpot WhatsApp integration: common questions

Which HubSpot plan do I need for WhatsApp?

HubSpot’s Knowledge Base lists the WhatsApp channel for Marketing Hub or Service Hub at Professional or Enterprise. Sales Hub on its own, Starter and Free do not appear on that list. Those portals can still use WhatsApp through a provider app that syncs to HubSpot.

Is there a HubSpot WhatsApp Starter plan?

No native WhatsApp channel is listed for Starter. A Starter portal can connect WhatsApp through a provider such as Wati, Interakt or AiSensy, whose apps write contacts and messages into HubSpot. Check what each app logs before choosing, because sync depth varies.

How many WhatsApp messages can HubSpot send a month?

HubSpot documents a limit of 1,000 template messages per month, shared across all connected WhatsApp Business accounts, resetting on the day you first bought the qualifying subscription. Free-form replies inside the 24-hour window are separate. Higher volumes usually go through a provider.

Will my existing WhatsApp chats move into HubSpot?

Not with a standard connection: HubSpot says historical conversations are not synced, and the number stops working in the WhatsApp apps. With coexistence, HubSpot imports the last 180 days of history and keeps the Business App working, with media shown as placeholders.

Does HubSpot charge for WhatsApp messages?

HubSpot’s article does not describe a HubSpot charge per message; Meta charges per delivered template message by category. At Meta’s India list rates effective 1 October 2026, a marketing template is ₹0.8631 and a utility template ₹0.115, before GST. Providers add their own markup or platform fee.

Can I send WhatsApp messages from HubSpot workflows?

Yes, on the native channel, using approved templates. HubSpot requires verifiable opt-in before sending through a contact-based workflow, and only contact and company personalisation tokens work in the template. Deal or ticket values must be copied to a contact property first.

Why does my WhatsApp number fail to connect to HubSpot?

The usual causes are that the number is still attached to the WhatsApp Business App, another provider or a previous integration, cannot receive a verification voice call, or sits behind an IVR. Errors in the Meta window must be fixed with Meta before retrying. For coexistence, disconnect and wait 10 to 15 minutes.

How do I know which campaign a WhatsApp lead came from in HubSpot?

Capture it deliberately. For website buttons, store click IDs and UTMs against a reference code in the prefilled message and read it into contact properties. For click-to-WhatsApp ads, the click ID comes in the first message webhook; confirm your route stores it, because HubSpot’s native documentation does not say so.

Should I use the native integration or a provider for HubSpot WhatsApp integration in India?

Use native if you already have Marketing or Service Hub Professional and stay under about 1,000 templates a month. Use a provider for Starter portals, bulk campaigns, chatbots or order updates at volume. Many Indian teams combine both on separate numbers.
