Short answer

An IndiaMART HubSpot integration sends each IndiaMART enquiry into HubSpot as a contact or deal. Generate a Push API connection in IndiaMART Lead Manager pointing at a connector or middleware URL, which matches the buyer by phone, creates or updates the HubSpot record and tags the source. JustDial works the same way, but its account manager registers the webhook.

Why connect IndiaMART and JustDial to HubSpot at all?

Because portal leads that live in the seller app cannot be routed, followed up on time, or measured against what the subscription costs. HubSpot only helps if every enquiry reaches it automatically and once.

IndiaMART and JustDial produce a particular kind of lead. Buyers often send the same requirement to several sellers, enquire again a week later, and give a mobile number but no email. Reps answer from the seller app on their own phones and copy only the leads they like into the CRM. The result is a HubSpot portal that undercounts portal leads, cannot show which portal produces orders, and cannot measure response time.

An integration fixes three things at once: speed (every enquiry becomes a HubSpot task or notification within minutes), completeness (no lead depends on a rep choosing to type it in), and measurement (every record carries the portal, lead type and product, so won revenue can be compared with the subscription fee). The measurement side, the reporting by source and the cost-per-won-deal maths, is the same as in the Zoho CRM version of this guide. This page concentrates on what is different in HubSpot: how records are matched, which HubSpot features can receive a webhook, and how to route.

How can IndiaMART leads get into HubSpot?

IndiaMART offers two APIs and HubSpot does not have a native IndiaMART connector, so every route has something in the middle: a connector app, an automation tool, or your own code.

How to connect IndiaMART to HubSpot, step by step

The steps below follow IndiaMART’s help articles for the Lead Manager Push and Pull APIs. Both are self-serve: IndiaMART says its technical team does not provide hands-on integration help, and the API is an add-on for paid sellers.

IndiaMART to HubSpot integration path (Push API)

  1. HubSpotPrepare HubSpot propertiesCreate Portal source, Portal lead type, Portal query ID (unique), Product enquired and Normalised phone; add a lead status for portal triage.
  2. MiddlewareGet a listener URLFrom your connector, automation tool or middleware. IndiaMART requires an https:// URL on a public domain.
  3. IndiaMARTOpen Push API in Lead Managerseller.indiamart.com, Lead Manager, the three-dot menu, Import/Export Leads, Push API.
  4. IndiaMARTRegister the URLPick your CRM or choose Other, enter the platform name and listener URL, and confirm the OTP sent to the primary mobile number.
  5. MiddlewareParse, match, writeFor each POST: read UNIQUE_QUERY_ID, normalise SENDER_MOBILE, search HubSpot, update or create the contact, create a deal or task, set source fields.
  6. MiddlewareReturn HTTP 200IndiaMART treats a 200 response as received and retries anything else at intervals; no accepted leads for 48 hours deactivates the Push API.
  7. BothTest and watch the logsUse IndiaMART’s test pop-up or test listener, then check success and failure logs in Lead Manager.

IndiaMART’s Push API article says data is sent by POST as JSON, and lists the fields in each lead, including UNIQUE_QUERY_ID, QUERY_TYPE, QUERY_TIME, SENDER_NAME, SENDER_MOBILE, SENDER_EMAIL, SENDER_COMPANY, SENDER_CITY, SENDER_STATE, QUERY_PRODUCT_NAME, QUERY_MESSAGE and QUERY_MCAT_NAME. Every lead carries a query ID, lead type, time, a name (defaulting to “IndiaMART Buyer” when missing), country, and either a mobile number or an email, which is why matching on email alone is not enough.

QUERY_TYPE tells you what kind of enquiry it is: W for direct enquiries, B for buy-leads, P for PNS calls, BIZ for catalogue views and WA for WhatsApp enquiries. Map it to a HubSpot property, because direct enquiries and purchased buy-leads usually convert very differently, and you will want to judge them separately.

The Pull API is the scheduled alternative. You generate a key in Lead Manager (Import/Export Leads, then Pull API), and call the endpoint with a start and end time in IST. IndiaMART sets a maximum window of 7 days per call, a minimum of 5 minutes between calls (it advises every 10 to 15), blocks the key for 15 minutes after more than 5 hits in a minute, and makes only the last 365 days available. A key expires after 7 days without activity, and generating a new key expires the old one. Use Pull for a one-time backfill of history and as a fallback, and Push for the live sync. IndiaMART itself now steers sellers toward Push: its older Zoho CRM plugin article says that Pull-based plugin is being phased out, while the Push API Zoho article keeps Pull only for fetching old leads.

Eligibility

IndiaMART’s help pages describe the Leads API as an add-on for registered paid sellers that cannot be bought on its own, and say the Generate Key option is only available to paying clients logged in with the registered primary mobile number. Confirm what your plan includes with IndiaMART before scoping a build.

JustDial HubSpot integration: how it differs

JustDial leads can reach HubSpot the same way, through a webhook URL, but you cannot register the URL yourself. That one difference shapes the whole setup.

No public, self-serve JustDial lead API was found while researching this guide. Connector vendors describe the same process: their platform generates a webhook URL, and you send it to JustDial, who adds it on their side. Kylas (vendor-published) lists access to the JustDial support team as a prerequisite, and Pabbly Connect (vendor tutorial) uses a New Leads trigger on its own webhook URL that JustDial is asked to call. Niswey’s Semka documentation (vendor-published) includes a sample email for that request, and LeadSquared’s help article (vendor-published) says JustDial must be configured to call its URL using the GET method.

That GET detail matters for HubSpot. HubSpot’s webhook workflow trigger accepts only application/json content and only enrols records that already exist, so a JustDial request cannot go straight into a HubSpot workflow. Put a connector, automation tool or small function in between that reads the request, normalises the number, and writes the contact through the API.

For JustDial leads to CRM in general, the same rules apply whatever the CRM: one URL per CRM, written confirmation from the account manager, a test lead from JustDial, and a weekly comparison of JustDial’s lead list with what arrived. Tag JustDial leads with their own Portal source value so the ROI report can separate them from IndiaMART.

IndiaMART
  • Self-serve Push and Pull APIs in Lead Manager

  • Request format depends on JustDial’s setup; some connectors receive GET
  • Confirmation and troubleshooting go through the account manager
  • No documented public backfill; export from the JustDial panel if available

Matching and deduplication in HubSpot

This is the part most IndiaMART HubSpot integrations get wrong. HubSpot matches contacts on email; portal buyers often have only a phone number.

HubSpot’s deduplication article says contacts are deduplicated by email address and companies by domain. A form submission with a known email merges into the existing contact; an import without an email column or another unique identifier creates every row as a new contact. Phone number is not a default matching key. So when a buyer who enquired last month enquires again with only a mobile number, a naive integration creates a second contact, and the history, owner and deal are split.

The fix has three parts:

  1. Normalise the phone number before anything else: country code, no spaces, no leading zero. Store it in a dedicated property and make that property require unique values, which HubSpot supports for custom properties and can use as an identifier in imports.
  2. Search, then write. Search contacts by the normalised phone first, then by email if present. If a contact exists, update it, log the enquiry as an activity or note, and decide whether it opens a new deal or joins an open one. Only create a contact when both searches miss.
  3. Key on the portal’s own ID. Store IndiaMART’s UNIQUE_QUERY_ID on the record or activity. IndiaMART retries Push deliveries until it gets HTTP 200, and its Pull guidance recommends overlapping windows, so the same query can arrive twice; the query ID lets you ignore the second copy.

For portals where the same buyer appears on both IndiaMART and JustDial, the phone match also links the two enquiries to one person, and the Portal source property should record the first portal while each activity records its own.

Plan your sync: duplicates, call volume and delay

Use a month of portal numbers. The planner shows what HubSpot’s default matching would cost you in duplicates and whether a Pull schedule stays inside IndiaMART’s limits.

What to fix in the design
  • Match on a normalised phone number (country code, no spaces) before email. Store it in a HubSpot property that requires unique values, and search on it before creating a contact.
  • Push sends leads in near real time and IndiaMART retries until your endpoint returns HTTP 200, but deactivates the Push API if no leads are accepted for 48 hours. Monitor the endpoint.
  • JustDial has no self-serve webhook. You send your connector’s URL to your JustDial account manager, and some connectors receive it as a GET request, so a middleware step is usually needed before HubSpot.

Want the integration designed and built with phone matching, source tagging and routing?

Method: portal leads per month = IndiaMART + JustDial. Repeat enquiries = leads × repeat share (buyers who already exist in HubSpot from an earlier enquiry or the other portal). HubSpot deduplicates contacts by email address (HubSpot Knowledge Base), so a repeat enquiry without an email creates a duplicate unless you match on phone: duplicates with email-only matching = repeat enquiries × share without email, using a weighted no-email share across both portals. With a normalised phone number as the match key, duplicates are treated as zero. Pull API calls per day = 1,440 ÷ polling interval in minutes; IndiaMART allows a minimum of 5 minutes between calls, advises 10 to 15, and blocks the key for 15 minutes after more than 5 hits in a minute. Worst-case delay is the polling interval for Pull, and near real time for Push. Repeat and no-email shares are your own estimates; check them against a month of portal exports.

Routing and follow-up for portal leads in HubSpot

Portal buyers contact several sellers at once, so speed decides who gets the order. Route on fields the integration fills, and give reps a short triage stage.

Route on QUERY_MCAT_NAME or product (which team sells it), SENDER_STATE or city (territory), and lead type. HubSpot’s rotation and ownership options are covered in the guide to HubSpot round robin lead routing; apply the same rules to portal leads rather than building a portal-only queue that nobody watches.

Give portal leads a triage stage before the normal pipeline: not a buyer, not a fit, genuine requirement, quoted. Make the disqualification reason a required dropdown (student, competitor, wrong product, area not served, price only). Those reasons tell you whether a portal category or keyword is worth paying for. To see what slow replies cost, run the numbers in the lead routing delay cost calculator.

Create a deal only when a lead reaches genuine requirement, not on every enquiry, or the pipeline fills with noise. When the deal closes, the won amount and the portal source on the contact give you revenue per portal, which you compare with the annual subscription cost. Keep the field names and meanings in your CRM data dictionary.

What breaks in IndiaMART and JustDial integrations

These integrations usually fail quietly. The lead keeps arriving in the seller app, so nobody notices HubSpot has stopped receiving them.

  • Push API switched off. The endpoint failed or rejected leads for 48 hours (an expired token, a changed HubSpot property, a broken Zap), and IndiaMART deactivated the Push API.
  • Pull key expired. The scheduler stopped for a week, the key expired after 7 days of inactivity, or someone generated a new key and the old one stopped working.
  • Key blocked. A misconfigured scheduler called the Pull API more than 5 times in a minute and the key was blocked for 15 minutes, repeatedly.
  • Duplicates from phone-only leads. HubSpot’s email matching does not catch them, so one buyer becomes several contacts.
  • JustDial changed without notice. The account manager changed, or the URL was removed on JustDial’s side, and there is no self-serve panel to check.
  • Source lost on merge. Merging duplicates overwrote the first portal source with a later value.
  • Missing names. IndiaMART defaults SENDER_NAME to “IndiaMART Buyer” when absent; without a rule, the CRM fills with identical names.

Myth HubSpot will merge repeat buyers automatically.

Reality Only by email. Phone-only portal leads need your integration to search by a normalised phone property first.

Myth A HubSpot workflow can receive IndiaMART leads directly.

Reality The webhook trigger only enrols existing records with a matching unique value and accepts JSON only, so it cannot create the first contact.

Myth Once set up, a portal sync runs itself.

Reality Both IndiaMART APIs can switch off on their own: Push after 48 hours of rejected leads, Pull keys after 7 inactive days.

How to test the integration before and after go-live

Test the unhappy paths, not just one clean lead. A repeat buyer and a phone-only buyer are the two tests that matter most.

DIY or get it built

A connector app is a same-day DIY job. Phone matching, routing and portal ROI reporting are a short build that needs someone who knows both systems.

If portal leads are your main source, the integration is part of a wider CRM design: lifecycle stages, deal pipeline, owner rules and reporting. The HubSpot consultant guide covers who to hire and what it costs, and the HubSpot implementation cost guide shows how each integration affects scope; for licences, see HubSpot price in India. If you are still choosing a CRM for a portal-heavy sales team, Bigin vs HubSpot and Zoho CRM alternatives compare the options.

When the real question is why enquiries do not turn into orders, start with the Revenue Diagnostic: two weeks of read-only access to ad accounts, analytics and CRM, ₹90,000 for companies in India ($1,500 elsewhere), ending in the binding constraint and a 90-day plan. WhatsApp enquiries raise the same phone-matching issue, covered in the HubSpot WhatsApp integration guide.

IndiaMART, JustDial and HubSpot: common questions

Does HubSpot have a native IndiaMART integration?

HubSpot does not offer its own IndiaMART connector. You connect them through IndiaMART’s Push or Pull API with something in between: a marketplace connector app, an automation tool such as Pabbly Connect or Zapier, or your own middleware writing to HubSpot’s API.

What is the difference between IndiaMART Push API and Pull API?

Push sends each lead to your webhook URL by POST in near real time and retries until it gets HTTP 200. Pull lets you request leads on a schedule, at least 5 minutes apart, with up to 7 days per call and 365 days of history. Use Push for the live sync and Pull to backfill.

Who can use the IndiaMART lead API?

IndiaMART’s help pages describe it as an add-on for registered paid sellers that cannot be bought on its own. The Generate Key option is available only to paying clients logged in with the registered primary mobile number, and IndiaMART does not provide hands-on integration support.

How do I connect JustDial leads to HubSpot?

Get a webhook URL from a connector, automation tool or your own middleware, and send it to your JustDial account manager to register. There is no self-serve JustDial panel for this. Because HubSpot workflows cannot create contacts from a webhook, the middle step must write the contact through the API.

Why do IndiaMART leads create duplicate contacts in HubSpot?

HubSpot deduplicates contacts by email, and many IndiaMART and JustDial buyers give only a phone number. Repeat enquiries then create new contacts. Normalise phone numbers, store them in a unique property, search by phone before creating, and ignore repeated IndiaMART query IDs.

Should IndiaMART leads create contacts or deals in HubSpot?

Create or update a contact for every enquiry, log the enquiry as an activity, and create a deal only when the lead is a genuine requirement. Creating a deal per enquiry fills the pipeline with buyers who were only comparing prices.

My IndiaMART leads stopped coming into HubSpot. What happened?

Check Lead Manager’s failure logs first. IndiaMART deactivates Push after 48 hours without accepted leads, and Pull keys expire after 7 days of inactivity or when a new key is generated. Then check the connector or middleware for HubSpot errors such as a deleted property.

Can I import old IndiaMART leads into HubSpot?

Yes. The Pull API returns up to the last 365 days, 7 days per call, so a script or tool can loop through history. Run it through the same phone matching as the live sync, so old and new enquiries from one buyer land on one contact.

How do I measure IndiaMART ROI in HubSpot?

Tag every record with portal source and lead type at creation, close deals with real amounts, and report won revenue by portal for the subscription period. Divide the subscription cost by genuine leads and by won deals. The Zoho version of this report is described in the IndiaMART leads in Zoho CRM guide.
